Project Coordinator Job Summary:

MGA Employee Services seeks experienced Project Coordinators for an opportunity available in Irvine, CA. In this role, you’ll provide high-level administrative support by performing a variety of administrative functions in accordance with office procedures.

 Project Coordinator Responsibilities:

  • Primary administrative support to several project directors and managers
  • Handle information requests, receive visitors, make travel arrangements and complete expense reports
  • Arrange conference calls, schedule meetings, attend meetings, host live meetings, take notes at meetings and produce minutes as needed
  • Prepare technical documents including procedures, project plans, reports, guidelines, schedules, spreadsheets, correspondence, presentations, etc.
  • Assist with department budget, procurement, purchase requisitions and invoice payments
  • Prepare agendas and make arrangements for meetings including venue, meals, visitor admittance, etc.
  • Work with management to establish and maintain project procedures (process mapping)
  • Department integration for new associates and contract employees and department liaison with project administrative staff
  • Provide training to staff on a variety of internal and external software applications
  • Maintain a variety of office wall space with reports, photos, charts as directed and order specific supplies for same
  • Responsible for data entry of project status/quantities into company databases
  • Assist project Document Control/and Quality personnel to ensure proper records documentation filing and maintenance of document library

Project Coordinator Qualifications:

  • Minimum of 5 year’s experience in performing high-level administrative functions preferably in the construction industry and in support of high-level management staff.
  • High School Diploma; 2 or 4-year business degree a plus
  • Excellent computer skills including knowledge/and experience with standard Microsoft Suite Office products (Word, Excel, PowerPoint, Visio, Picture Manager) and Adobe
  • Must be able to work overtime on short notice and be flexible with work schedule
  • Minimal Travel required
